1. What is ZATCA ERP System?

ZATCA ERP System Professional Edition is a department-based, multi-tenant ERP that seamlessly unifies your daily operations with accounting automation. The system is designed around 4 primary departments:

Sales Department

Manages the customer lifecycle from Quotations to Invoices and Income Receipts.

Purchase Department

Handles your supplier procurement, from Purchase Orders to Bills and Payments.

HR and Payroll Department

Tracks employee details, contracts, attendance, and automates monthly salary calculations.

Accounting Department

The financial control center. It manages the ledger, periods, and tracks where the money goes.

2. The Golden Rule of the System

Operational Documents Automate Accounting
You do not need to be an accountant to use this system! When you issue an Invoice or a Purchase Bill, the system automatically creates the required Journal Entries behind the scenes. The Financial Statements are then generated directly from these automated accounting entries.

3. Getting Started Checklist

Before diving into your daily business operations, please ensure the following foundational settings are configured:

A. Configure Company Profile

Navigate to the site settings and ensure your Company Name, VAT number (15 digits), and CR number are accurately filled. This is required for ZATCA-compliant reporting and invoicing.

B. Open Your Financial Period

Navigate to Accounting > Financial Periods. You must create and open your first financial period before the system allows you to record any transactions or invoices.

C. Review Your Chart of Accounts

Take a moment to review the default Chart of Accounts under the Accounting module to ensure your asset, liability, equity, revenue, and expense accounts fit your business needs.

4. Combo Access Feature

An optional feature that gives all departments access through a single unified dashboard.

Ideal for Small Companies

Small companies with fewer than 10 managers and no separate departments.

Not Recommended for Larger Organizations

Larger companies with more than 10 managers or companies with established separate departments.

Pros and Cons

Pros:

Simple user experience with one account across all modules. Faster onboarding for small teams without strict departmental boundaries. Less switching between users during daily operations.

Cons:

Reduced segregation of duties across departments. Less suitable for teams that need strict role separation and audit flow. Can create process conflicts in larger organizations.
The final decision to enable Combo Access belongs to the company based on its structure and governance.
